These booking conditions set out the terms on which you contract with us.



Booking Procedure

A booking for a trip with Wildlife & Wilderness Ltd. can be made by sending the appropriate booking form and the necessary deposit, together with the insurance premium if applicable, to Wildlife & Wilderness Ltd. at the address below. Full payment is required 8 weeks before departure and if a booking is made within this period. Payments should be made to Wildlife & Wilderness Ltd. The person who signs the booking form, does so on behalf of themselves and all other people included on it, which means that all are bound by these booking conditions. All are deemed to have read and understood these booking conditions.


Price

The price includes all services specified in the itinerary. Unless specifically included it does not include: visa and passport fees, meals and services not included in the itinerary, expenses of a personal nature, insurance, emergency costs, excess baggage charges.

The price of your holiday is subject to surcharges due to unfavourable price changes in fuel, government or airline imposed charges or adverse currency exchange rates. Even so we will absorb an amount equivalent to 2% of the basic tour cost. If any surcharge greater than 10% is imposed you will have the right to cancel you booking in writing with 7 days of notification and be entitled to a full refund.


Consumer Protection

The air holidays are ATOL Protected, since we hold an Air Travel Organiser's Licence granted by the Civil Aviation Authority. Our ATOL number is ATOL 6330. In the unlikely event of our insolvency, the CAA will ensure that you are not stranded abroad and will arrange to refund any money you have paid to us for an advance booking. Holidays that do not include flights are protected by our independent trust account, which complies with UK and EU regulations.


Itinerary

Some trips booked with Wildlife & Wilderness Ltd. will be to remote and unpredictable parts of the world. The itinerary is provided in good faith but should be seen as a general aim rather than a contractual statement of detail. In particular, standards of comfort and service may vary and transport timings may change. Factors beyond our control may necessitate changes. Clients will be consulted when ever possible when there are choices available.


Unused accommodation and services

The cost of the trip includes accommodation and services as specified. Refunds cannot be made for any of these that are not used for whatever reason. However, we will endeavour to obtain appropriate refunds for you where possible.


Alterations by us

We reserve the right to alter arrangements and itineraries because of factors beyond our control (force majeure), or when we consider it in the best interests of our clients. Changes will be made known to clients as soon as possible. If these changes are substantial and unacceptable, a refund may be given.


Alterations by you

Any special requirements should be notified at the time of booking. Alterations after booking are sometimes possible and may incur additional expenses, but note that there is also an administration charge of £25 per person for this service.


Cancellation by us

We reserve the right to cancel the trip for reasons beyond our control (force majeure) or if the number of persons who agree to take the tour is less than the minimum number required for that tour. A full refund will be made but we accept no responsibility for further compensation. Only in exceptional circumstances will a trip be cancelled less than 8 weeks before departure.


Cancellation by you

Cancellations must be made in writing. The following charges will apply:

Prior to 56 days before departure - Forfeit of deposit only

55 to 28 days before departure - 50% of total cost of holiday

Less than 28 days before departure - 100% of total cost


Insurance

It is a condition of booking that you are adequately insured and, if not insuring with us through Campbell Irvine underwritten by AXA Insurance, that your insurance company should be aware of the type of trip you are undertaking.


Passports and visas

We will give general advice on passport and visa requirements, but it is your responsibility that you meet all official requirements for the trip. Most countries beyond Europe require passports to be valid at least six months after you return. Ensure that the name given to us for tickets, is the same as on your passport.


Behaviour

It is essential that the instructions of the trip leader/guide are followed at all times for the safety and well being of individuals and of the group. We reserve the right to require any person to withdraw from the trip if their behaviour is deemed offensive, dangerous or incompatible with the conduct of others and we shall be under no further liability to any such person.


Health

We will give general advice on health matters, but you should consult your doctor for specific advice. Parts of the trip may be strenuous and it is your responsibility to be adequately fit. During the trip a basic first aid kit will be carried but the leader/guide is not medically qualified. Carry any specific personal medication.


Risk

Whilst every effort will be made for your comfort, it must be understood that many trips are potentially hazardous and involve a degree of risk and discomfort. We accept no liability for any loss, damage, injury, expense, delay or inconvenience.


Complaints

In the unlikely event of you being dissatisfied with any aspect of the trip, the matter should be raised with the leader / guide as soon as possible. Failure to do this will adversely affect any claim at a later date. Matters can usually be put right on the spot. In the event of continuing dissatisfaction, the complaint should be made in writing on your return. We will investigate fully and report back to you as soon as possible. We agree to independent arbitration should this become necessary.
